OptiQ Dispatch

Privacy

OptiQ Dispatch is a safety phone line for industrial sites, made by RICS Services Inc. in British Columbia. This page says what information the line keeps, why, where it goes and for how long. It covers people who call a site's line, people on a site's call list, and the site's admin users.

Who decides

The site that uses OptiQ Dispatch decides who is on its call list, which features are on and how long its records are kept. The site is responsible for the information its line keeps, and RICS Services Inc. handles that information on the site's behalf, on our server.

What the line keeps

When you call a site's line, it keeps:

  • your phone number, and your name if the site has you on its list
  • a written log of the call: what you said and what the line said
  • the texts you send and receive
  • a call record for the site's paperwork: the facts its incident form asks for, each with your own words. Phone numbers, links and names are taken out of it.
  • your phone's position, only if the site has turned this on and you tap the link and allow it

The line does not record the audio of a call. When it says the call is recorded for safety records, it means the written log.

If you are on a site's call list, the line keeps your name, role and phone number, and the nights you are away. Before it calls or texts you, it asks for your consent by text and keeps a record of the request, your answer and the exact words sent. Reply STOP at any time to stop.

If you sign in to a site's admin pages, the line keeps your email address, your role and a record of each sign-in. You sign in with Google or Microsoft, and we ask Google only for your email. One cookie keeps you signed in, for up to 8 hours idle and 7 days at most.

This website sets no cookies and runs no analytics. It remembers which sample call you picked, in your browser's tab only.

Why

  • to answer the call, work out the problem and call the right people
  • to keep the site's safety records
  • to prepare a draft of the site's incident paperwork, for a person to review. The line never files it.
  • to show the people coming to help where the caller is, when location is on
  • to show that a person agreed before the line calls or texts them
  • to let the site's admins sign in

Where it goes

Our server is in Toronto, Canada. To answer a call, the line also uses Twilio, Deepgram and Anthropic, three United States companies, and Cloudflare's network. We cannot offer Canada-only processing today.

How long

  • Call records: the site sets how long, one year or more.
  • Call logs and location fixes: the site sets how long.
  • Consent records: as long as the call records, after the number leaves the call list.
  • The server's system log keeps short call summaries on its own schedule.
  • When the site's period ends, the line deletes those call records, call logs and location fixes.
  • Some copies are outside our server: texts on people's phones, and the logs Twilio keeps of calls and texts.

Telling callers

The line always tells callers it is an AI and that the call is recorded.
